POSITION SUMMARY
The Administrative Assistant is a detail-oriented, task-driven role responsible for the day-to-day clerical functions of the office. Reporting to the Operations and Finance Coordinator, this position ensures that donor contributions are processed accurately, sponsorship data is kept current, and general office tasks are handled with efficiency and care.

POSITION RESPONSIBILITIES

  • Financial & Donor Processing: Collect mail from the PO Box and process check donations. Utilize our CRM (Bloomerang) to record donor activity and generate necessary reports.
  • Sponsorship Maintenance: Identify delinquent sponsorships or expiring credit cards; contact donors/sponsors to update payment information and ensure continuity of support.
  • Office Administration: Manage general office tasks, answer phones, assist callers, and take detailed messages. Keep ServLife up to date on necessary legal and membership filings.
  • Communication & Events: Coordinate regular mailings. Provide administrative support for ServLife events and other shared staff projects as needed.

QUALIFICATIONS

  • Integrity & Discretion: Must possess the highest level of work ethics and integrity with a proven ability to maintain strict confidentiality of donor information.
  • Organizational Skills: Strong administrative skills with the ability to take initiative and complete responsibilities with minimal supervision.
  • Technical Proficiency: Proficient in Microsoft Word and Excel. Previous experience with Bloomerang or similar CRM software is a significant plus.
  • Task Management: Demonstrated ability to prioritize tasks, meet deadlines, and manage a high volume of detail-oriented work.
  • Communication: Good written and verbal communication skills for interacting with supporters and staff.
  • Mission Alignment: Thoroughly committed to ServLife’s mission and values.

WORK ENVIRONMENT
This position is primarily executed on-site in ServLife’s office at 9953 Crosspoint Blvd, Indianapolis, IN 46256.

POSITION TYPE
This position is 15-20 hours per week.

SALARY AND BENEFITS
This position pay range is $16-20/hr depending on the candidate.
5 vacation days, 6 personal days, and 10 holidays per year (if working 20 hours/week average).
